General Payroll FAQs

What services are provided by the University Payroll Department provide?

The Payroll Department provides services to the Yale University community as well as Federal, State and Local authorities. Some of these services include but are not limited to:

  • Maintains employees payroll records
  • Monitors and implements payroll tax law changes.
  • Processes all Federal and State mandated employment tax forms.
  • Processes and prints all employee Payroll payment checks and deposit advices.
  • Distributes checks to employee’s campus addresses or US Mail address.
  • Distributes direct deposit advices to employee’s campus addresses.
  • Assists the BSCs (Business Service Centers) and individual department business managers with questions on Payroll Policies and Procedures.
  • Recommends, tests, reviews and implements modifications to the HR/Payroll Oracle system.
  • Processes VOEs (Verification of Employment) for federal, state and local agencies.
  • Issues calendar year end tax documents.

How can I reach the University Payroll Department?

The Payroll Department is located at 221 Whitney Ave., 5th Floor, and is open Monday through Friday from 8:00 a.m. to 5:00 p.m. All visitors must stop at the front desk in the lobby of 221 Whitney Ave. prior to proceeding to the Payroll Department. Payroll questions should be directed to the Employee Service Center at (203) 432-5552 or via e-mail at employee.services@yale.edu. Please include your employee identification number on all e-mail correspondence.

What is an employee identification number and where do I find it?

  • Your employee identification number is a unique number assigned to your Oracle record at the time of implementation of the new HR/Payroll system or at your time of hire. (If hired after June, 1999). This is a Yale University numbering system that identifies you in the Oracle Payroll System.
  • Your employee identification number is located on your check stub or deposit advice in the upper left hand corner directly beneath your Name. The University encourages you not to use your Social Security Number on correspondences. If you do not know your Employee Identification number and do not have a check stub or advice, please call the Payroll Department at 203.432.5408.

What payment methods does the University offer for Payroll payments?

Yale University currently provides two methods of payments:

  • Checks made payable to employee
  • Direct Deposit to employee’s financial institution (Please see Direct Deposit FAQ)

When and how often will I receive my Payroll payments?

Yale University has three different payroll payment schedules. When and how often your Payroll payments are paid depends upon job classification and chosen payment method.

Please Note: If a normal pay date falls on either a Yale University holiday or a bank holiday, then payment will be made on the prior business day.

I think my paycheck is incorrect. What should I do?

I am a Clerical and Technical employee. When and how often are my “Paid Time Off” balances accrued? I think mine may be wrong, whom should I contact?

If you believe that the “paid time off” balances are incorrect on your check/deposit advice, please contact your business office first. If there are further questions, please have the business office call the Employee Service at (203) 432-5552.

I am a Service and Maintenance employee. When and how often are my Paid Time Off balances applied? I think mine may be wrong, whom should I contact?

Paid Time Off balances are applied to Service and Maintenance employees’ records on January 1st of each year. All new hires’ balances will be prorated. Please refer to the Yale University Local 35 contract for Paid time off entitlements. If you believe your balances are incorrect, please contact the Employee Service Center at (203) 432-5552.

How can I obtain copies of my check stubs/deposit advices?

It is extremely important for you to maintain your check stubs and/or deposit advices. These documents cannot be processed immediately. Please contact the Employee Service Center for this request and allow at least three (3) business days for request to be processed.

How do I change my name, home address/campus location or mail code?

Please contact your business office to correct this information. If they have further questions, they should contact the Employee Service Center at (203) 432-5552.

My paycheck has been lost or stolen, what should I do?

Complete and sign Section I and II of the Yale University Stop Payment Request Form and return it to the Payroll Department in person or Fax to 203.432.6662 as soon as possible. Please contact the Payroll Department 3 business days after submitting the stop payment request. If the stop payment was successful, a duplicate check will be processed. If the check in question has been cashed, a stop payment cannot be processed. You will be notified of this via email or telephone. Once you have completed a stop payment form and the original check is located, do not attempt to cash or deposit it. Please return original check to the Payroll Department.

What is a temporary Social Security Number?

A temporary Social Security Number is a temporary number for employees who have not yet received a valid Social Security Number from the Social Security Administration. (See the U.S. Social Security Administration for further information on obtaining a United States Social Security Number) A temporary number is for Yale University use only and cannot be used for any other reason (i.e. outside job applications, credit card applications, etc).

I have received my Social Security Number from SSA, what should I do?

Bring or fax a copy of your social security card to the Payroll Department as soon as you have received this information. This information is a necessity to have your wages be correctly reported to the Social Security Administration.
