Graduate Apartment Student Housing Processes

MyHousing for Graduate Apartment Student access only: This is a new procedure for the Apartment Students. We’ve been successful with the Dormitory MyHousing processes over the past couple of years. The Graduate Apartments are going to make available limited processes to easily record information in the database management system.  These new procedures will be implemented for the Housing Survey Intent form which is always sent out at this time of the year. For those residents who are eligible to renew their contract for the same apartment in the same complex, it can now be done on-line through Grad Apartment MyHousing.

This process will be available for your access beginning Tuesday, March 1st and needs to be completed by Monday, March 21st.  Please log into the following website: https://gradhousing.yale.edu/myhousinga with your NET ID and password from Yale CAS (Central Authentication System).

Once you are at the MyHousing web page, click on the left hand navigation menu item of ‘Home Overview’. This section will show you a review of your assignment and the terms of the contract. The ‘Room Selection’ provides you the opportunity to select your apartment.  The apartment in which you reside will populate. Choose ‘Select a Room/Suite’. In this section, Room = Apartment in name. Click ‘Select Room’. At the pull-down menu, select your name. Lastly, click for ‘Submit for Confirmation’. The submit button can only be pressed once and can NOT be un-done. An automatic email confirmation from The Housing Director System will be forwarded.

If you wish to Transfer to another apartment or another complex, it will be necessary to send an email to grad.apts@yale.edu to set up a personal appointment to discuss your needs.   These requests will be scheduled for the week of March 29th.  There are a limited number of transfers available within the Graduate Housing System. Most transfers must take place prior to July 9th and the condition of the new unit is accepted on an ‘as is’ basis. If you would like to transfer to a specific apartment complex, please include this information in your email. A $250 transfer fee will apply. The new contract will be available at the Graduate Housing Office for your signature April 4-7th.

Residents who will be Graduating this May will need to contact the GHO and provide that information as well, giving us the month in which you plan to vacate, May or June. Those residents who wish to take advantage of an early release from the June rent because they are graduating, must submit written confirmation from your department by May 9th. Students vacating earlier will still be responsible for rent through May 31st.  Any special considerations will need to be put in writing and sent to Betsy.Rosenthal@yale.edu for review. It is not possible to extend any contracts beyond June 30th.

Please be reminded that if you do not use the on-line system and we do not receive a personal email with your intentions by 4 PM Friday, March 25th, it will be assumed that you will be vacating by the end of the current contract, June 30, 2011.

Renewal/Sublet: If you plan to renew your contract, it is important for you to process this through MyHousing. Once this is completed, please send an email requesting an appointment to discuss your plans for subletting and its policies. We can discuss the options at contract signing or other available time. All summer sublets must be approved in advance by the Graduate Apartments Office. Any resident who sublets their apartment in violation of the Graduate Housing Subletting Policy is subject to University termination of their contract.

Summer Academic leaves, Internships, Research: Students who are away for academic reasons during the month of July are eligible for a 50% reduction in the rent. Written documentation from your department is required by June 1, 2010. Keys are turned into the Graduate Apartments office, utilities remain connected and mail must be forwarded.

Vacating information will be distributed thirty days before the scheduled vacating date. All contracts are dated to be completed June 30, 2010. If you have a question concerning your contract, please contact the Graduate Housing Office at (203) 432-8270. All non-graduating students who wish to vacate early are still responsible for rent charges through June 30th. All residents must vacate their apartment by 12:00 noon on the last day of their contract. New this year: we are requesting that the Move-out envelope which will be provided to each vacating resident, be dropped off at the Graduate Housing office during business hours on the day that you vacate. Inspections will be done after you have vacated the apartment.

Even if you are unsure of your arrangements by the March 21st survey deadline, please send an email indicating your tentative plans. Communication is the key. If you have questions, I can be reached at (203) 432-8270 or by email at betsy.rosenthal@yale.edu.
