Reduce excessive connections to the email server

Reduce frequency of auto-checking for new mail

All programs used to access your email account should be set to auto-check for new messages no more frequently than every 10 min. To adjust the frequency of checks for new messages, modify your email program's "preferences/settings". In the area of preferences where incoming mail server is specified, there should be an option (check box) that triggers auto-checking the server for new messages as well as a field in which you may specify a value representing number of minutes to wait between checks for new messages. This value should be no lower than 10 - preferably higher. Adjust the frequency and save preferences. Manual checks for new messages in your account are always possible, as necessary - but reducing the frequency of "automatic" checking will reduce the strain on the server.

Adjusting auto-check frequency in specific email clients

Thunderbird

Go to Tools, then Account Settings, and select Server Settings in the new window - fill in value (at least 10 minutes) for "check messages every XX minutes", Save Changes

Outlook

Pull Down Tools menu, select Options, choose "Mail Setup" Tab, Click "Send/Receive" button - adjust time value in Send/Receive window to 10 minutes or more.

Apple Mail

Go to Mail, then Preferences, and then click on the General icon. Adjust "check for new mail" value to every 10 minutes or more.

Eliminate the occurrence of simultaneous connections to your account

All clients should run only one email program at a time which automatically checks for new messages their email account. Therefore, never leave a home computer's email program running and auto-checking a Yale email account at regular intervals when your are not using that computer. Either turn off auto-checking in your home email program, or do not leave the program running when not in use.
