
Web Event Upload Instructions
Please note: We gather the event information for printed weekly calendar publication directly from WebEvent. The deadline for event posting to insure inclusion in the calendar (both print and email) is 12:00noon on Wednesday 11 days before the publication week. Be sure to have all the information complete in WebEvent for posting to the print and email calendar - we require the following for inclusion: speaker and affiliation, talk title, date, location, time and sponsor information.

TO SUBMIT EVENTS:
Go to the MacMillan Center web site at http://www.yale.edu/macmillan and click on Events.
It will bring you to a WebEvent calendar page.
Click on the "Submit Events" button located middle right of screen.
A new window will open with fields for your event information. Only fill out the "Basic" information form that automatically appears on the first page. Do not click on any other tabs, the "Basic" form is all you need to use.
There are 11 fields/boxes to fill in. You will see more fields on the form, but if it is not mentioned it below, DO NOT USE IT:
Title: Do not use "quotes" around title, All Caps, Bold, italic font
Title image URL: DO NOT USE THIS
Date: Enter date
Start Time: Enter start time
End Time: DO NOT list end time
CALENDARS:
Submit your event to the MacMillan Center calendar in addition to any other appropriate calendars. To select calendars, click on the “submit” button located below the window for “calendars to submit to.” A pop-up window will open listing the available calendars in WebEvent.
Category: select one, or leave blank
Description: Feel free to put any appropriate info here about the event.
Location: Enter location
Sponsors: PLEASE DO NOT ABBREVIATE; spell out each sponsor
Speaker: Name and affiliation
Contact person: Enter contact name
Contact email: Enter contact email
Click on "Submit"
Your event will then be approved and added, or denied, by the administrators of each calendar. You will receive an email generated by WebEvent with the “from” field noting an address from the WebEvent Calendar Administrator. This email will indicate the approval, or denied approval, of your event. There is no need to reply to this email.
TO EDIT OR DELETE EVENTS:
If you need to edit or delete an event, please send an email to lisa.brennan@yale.edu, k.martin@yale.edu, and marilyn.wilkes@yale.edu with the information.
