Fellowships Policies

Eligibility

The Fellowship Programs office serves the students and alumni of Yale College. For graduate/professional students and alumni of Yale University, the Fellowship Programs office administers only a select number of competitions: the Churchill Scholarships, the Luce Scholars Program, the Marshall Scholarship, the Rhodes Scholarships, and the Mitchell Scholarship.

Failure to Fulfill Fellowship Requirements

It is the student's responsibility to inform Fellowship Programs of any changes in the project after the award has been finalized. If a student fails to do this and/or does not comply with the terms of his/her fellowship award:

Fellowship Programs will determine, on a case by case basis, the amount of funding to be returned to the University, which could result in total forfeiture of the award. Further, the student's dean and master will be informed of the violation and a letter of censure will be placed in the student's residential college file. This letter will be retained in the file until the student graduates.

Fellowship Programs reserves the right to bar the student from consideration for national fellowships which require University endorsement.

Leave of Absence and Class-specific Awards

Students may apply only once for fellowships whose eligibility is restricted to members of a single class, e.g. the Kingsley (for Sophomores), the Beinecke (for Juniors). Thus, students considering a leave of absence, where questions regarding class standing may arise, should consult with a fellowship adviser about when would be the best time to apply for any of the class-specific competitions.

December Graduates

Students who graduate in December may apply for Yale-funded fellowships through Fellowship Programs that have spring deadlines EITHER in the preceding spring competition cycle (delaying the start date of the funded activity until January after graduation) OR in the spring competition cycle following graduation in December. Such students must choose one or the other competition cycle and may not participate in both.

Application Deadlines

Both the time and day of campus deadlines for submission of fellowship applications must be strictly observed. Late applications will not be considered unless the applicant makes a written request for late submission of an application to the Director of Fellowship Programs in advance of the campus deadline.

Fellowship Application Process

Honesty in Fellowship Applications and Essays

In keeping with the Yale College policy on academic honesty, Fellowship Programs expects that all essays, budgets, resumes, transcripts or other supporting materials submitted as part of a fellowship application are accurate and that they represent the student's own work. It is a breach of academic honesty to misrepresent one's needs or accomplishments. It is a similar breach of academic honesty to borrow from other writers without proper acknowledgment or to submit as one's own material that has been written or re-written by other hands. Any student with a question about the extent of permissible editorial help should consult with a Fellowship Programs adviser. Students are urged to use particular caution in consulting commercial editing services or others who offer to "correct" or "make changes" to their essays. Perceived violations of this policy will be referred to the Yale College Executive Committee.

Letters of Recommendation

Letters of recommendation submitted for a particular fellowship competition are not considered transferable to other competitions or to other offices or agencies. Referees may request copies of letters submitted in support of successful candidates during the current or two preceding academic years by contacting Fellowship Programs (ofp.fellowships@yale.edu). All recommendation letters are considered confidential and will not be released to the students.

Multiple Awards

It is expected that a student who has won and accepted a fellowship award will notify Fellowship Programs if other fellowship applications are still pending. In case of multiple awards for the same project, the student should notify Fellowship Programs and other appropriate offices to ensure that an equitable arrangement is made.

Academic Standing

Student recipients of Yale College fellowships must remain in good academic standing at the end of the semester in which the fellowship is awarded. When a student is withdrawn from Yale College for any reason, the Yale College fellowship is subject to cancellation.

Archives

All fellowship application materials submitted to Fellowship Programs will be retained on file for one academic year after the academic year of submission. Materials for fellowship recipients and nominees to national competitions will be kept on file in the Fellowship Programs office for two additional years and thereafter in perpetuity through the Yale University Library Archives. All materials for unsuccessful candidates will be destroyed after one year. Fellowship Programs urges all applicants to keep photocopies of their application materials.

Fellowships and the IRS

Under the Tax Reform Act of 1986, most fellowship monies are considered taxable income. Certain fellowships are "qualified," in which case specific portions of the funds awarded may be deductible. Fellowship recipients are advised to consult an accountant regarding the declaration of fellowship funds and to review carefully Chapter I of the IRS Publication 970 - Tax Benefits for Education (pdf).
